Officials

Officials are the umpires and referees registered with your organisation. This guide covers keeping the officials directory up to date and assigning umpires to matches.

Viewing officials

Open Officials in the sidebar. The stats show how many officials you have in total and how many are active. Search by name or email, and select a row to open their record.

Adding an official

  1. Select Add official.
  2. Enter first name, last name, email, phone, and their umpire level (Into Officiating, C Award, B Award or A Award).
  3. Select Add official.

If the email already belongs to someone in your organisation, you'll be asked whether to add the official role to their existing record rather than creating a duplicate — select Add as official to confirm.

Tip: you can also turn an existing player into an official straight from their team roster — see Teams.

Removing an official

Select the trash icon on their row. Removing them takes away the official role — they'll no longer appear in officials lists or be assignable to matches — but doesn't delete their record if they hold other roles too.

Recording availability and notes

Open an official's record and use the Admin notes box to record anything schedulers should know — availability windows, preferences, or anything else relevant. Select Save notes to keep it.

The same record shows their Qualifications — sport, level, issuing body and expiry date — with an Add button to record a new one.

Assigning officials to matches

Umpire assignment happens per competition, from the Officials tab on a tournament or league.

Fixtures are grouped by date, time and venue, each showing how many umpires are assigned out of two (0/2, 1/2 or 2/2). For any match that needs one:

  1. Select + Assign Umpire on that match.
  2. Choose from the officials available at that time slot — anyone already assigned to a match at (or close to) the same time is automatically excluded to avoid double-booking.

To remove an umpire from a match, select the × next to their name and confirm.

Assigning in bulk

Select Auto-Assign All to fill every match still short of umpires in one go — it works through matches time slot by time slot, avoiding anyone already busy at that time. Select Clear All to remove every umpire assignment across the competition; both actions ask for confirmation first, and clearing can't be undone.

Good to know

  • A match needs two umpires to count as fully staffed; the summary at the top of the Officials tab shows how many matches are fully staffed, partially staffed, or have no one assigned yet.
  • Qualification levels set here also appear as a badge next to an official's name when they're assigned to a match.
